Swimlane roadmap template — editable, free
A swimlane roadmap gives each team a horizontal lane on one shared timeline, which is the only layout where a handoff between two teams is visible as a thing with a date on both sides. Twelve items across four lanes, with a dependency chain drawn across two of them.
| View | Groups by | Visible fields |
|---|---|---|
Swimlanes | Team | Name, owner, dates, dependency arrows |
Leadership | Team | Name, team, quarter — owner and status hidden |
Platform lane | Team | Name, status, owner, dates — only Platform |
Milestones | Team | Name, team, date — only items flagged as milestones |
What are the lanes for?
Who does the work, and nothing else. A lane is a team or a workstream, held for the length of the programme, so that four sets of work can be read against one timeline and the points where they touch are visible.
The moment a lane is named after a status the picture stops working: horizontal position already carries time, so a lane called In progress puts the same item in two places at once. Lanes named after individuals fail more slowly and no less certainly — the chart turns into a staffing plan and breaks the week somebody moves team.
What is in this template? Four lanes of a platform migration, with the chain of handoffs drawn between them and three milestones on the axis. The swimlane view draws the dependencies, because the handoffs are the only reason to put four teams on one timeline instead of sending four roadmaps.
The Platform lane view is a filter on a single team, which is what a lane owner opens when they do not want the other three; copy it and change the team to get a view per lane. The milestones view filters to the dated commitments, which is usually what a steering group means when it asks for the roadmap.
The leadership view groups by team, shows quarters and hides owner and status. That call is set out one field at a time in roadmap for stakeholders , and the tighter version — five or six bars and nothing a board would feel obliged to chase — is in board meeting roadmap .
How do you get it onto a slide?
Any view exports as an image at 3840 × 2160, which fills a 16:9 slide without cropping. That’s an image you paste onto a slide rather than a .pptx file, which matters if you were expecting editable shapes. Roadmap slide powerpoint covers the re-export habit that keeps the slide current, and to start from a blank document rather than this one, a free swimlane timeline maker opens the same lane structure with nothing in it.
Common mistakes
Using lanes with one team. Every item lands in the same lane, and the format costs a row of headings without telling anyone anything.
Lanes as statuses. Horizontal lanes are for who does the work, and the moment one lane is called In progress the timeline stops reading as parallel tracks.
A lane per person. Lanes are teams or workstreams; a lane per person turns a programme timeline into a staffing chart that breaks the week somebody changes team.
Drawing the lanes without the handoffs. The reason to put four teams on one timeline is the points where one waits on another — without the dependencies, it’s four roadmaps printed on the same page.
Questions
What should a lane be?
Whatever select field you group by, as long as it outlives the programme. A lane per person turns the timeline into a staffing chart and breaks the week somebody changes team.
How many lanes before it stops being readable?
About six on a slide. Past that the rows compress until the bars are hard to tell apart, and the fix is dropping the lanes nobody in the room owns.
Can it show dependencies between lanes?
Yes. The template ships a dependency chain crossing two lanes, drawn on the swimlane view, since the handoffs are the reason to put the teams on one timeline.
Does it export for a deck?
Yes. The 16:9 option is a 4K picture with every lane and arrow in place, and you paste it onto the slide.
